How do I use your data?

Introduction

This privacy policy will explain how I use the personal data I collect from you when you use my website, contact and communicate with me, and transfer documents to me to make use of my proofreading and editing services. I will only use information I request from you in the ways stated in this policy.

What data do I collect?

If you contact me via email, I collect:

  • Your name and email address

  • Any further information you provide in the email (such as details about your project)

  • Any information contained in your email signature if you have one.

If you submit an enquiry or review via my website, I will also collect:

Enquiry

  • Essential information about your project (type, required services, and deadline)

  • Any additional information about your project that you choose to provide.

Review

  • Essential information about your project (type and services you required)

  • Your opinions on my services

  • Any additional information that you choose to provide.

If you contact me via phone (call or SMS), I will collect your phone number.

If you contact me via social media (Facebook, Twitter, or Linkedin), I will collect your name and any project information you choose to provide; and, if you are interested in my services, I will request your email address so that we can communicate and exchange documents more easily.

If you confirm that you wish to use my services, I will request your postal address. This needs to be included on the invoice for the job, in order to comply with UK tax authority (HMRC) regulations.

How do I collect your data?

As stated above, I only collect personal and project information when you directly provide it to me.

My website also collects some information via cookies. Cookies are text files placed on your computer to collect standard Internet log information and visitor behaviour information. When you visit my website, I may collect information from you automatically through cookies or similar technology.

You can set your browser not to accept cookies, and the above website tells you how to remove cookies from your browser. However, in a few cases, some of my website features may not function as a result.

How do I store your data?

Personal information I collect from you is stored in the following places:

  • Wix. This is my website host. My site has SSL certification (a secure connection, identifiable from the “https” in the website address), and my account with them is password-protected. See Wix’s privacy policy here.

  • HSBC UK. This is my banking provider. As your payments go directly to my UK bank account, your payment details will be securely stored. My account is protected by multiple measures (including security questions and codes), and no-one else has access to it.

Emails will be stored on the password-protected email account linked to my website. Any documents we exchange for work purposes (including briefs, projects, and invoices) will also be stored there as email attachments.

Copies of said documents will also be kept on my Microsoft OneDrive (online cloud storage) account. I access this via my personal, password-protected computer. This is to ensure up-to-date copies are always available, and that they can always be accessed in the event of a hard drive failure. You can view Microsoft’s privacy policy here.

If you wish for me to delete your project files once the job is completed, please let me know.

I will keep your personal data (name and address) for a total of five years, in order to comply with the regulations set out by the UK tax authority (HMRC). Once this time period has expired, I will ensure that your data is deleted from every place in which it has been stored.

What types of cookies do I use and why?

There are a number of different types of cookies. My website uses:

  • Essential cookies: These are used for system monitoring, measuring my website's stability and effectiveness, and ensuring my website remains safe and secure for users.

  • Functional cookies: These are used to recognize you on my website and remember any previously selected preferences, such as what language you prefer.

  • Marketing cookies: These are used to track advertising effectiveness to provide a more relevant service and deliver better ads to suit your interests.

  • Analytics cookies: These are used to help me understand how visitors interact with my website, discover errors, and provide a better overall analytics experience.

How will I use your data?

I collect your data so that I can:

  • Get the necessary information to draw up project briefs and complete jobs successfully

  • Easily maintain contact with you throughout the work process

  • Produce invoices with all the required information

  • Feature correctly attributed reviews and testimonials (when you permit it) on my website

  • Make it easier to communicate with you in future, should you wish to use my services again.

I will never share your personal information with other parties, unless I have your permission to do so in writing or am required to do so by law.

What are your data protection rights?

I would like to make sure you are fully aware of all of your data protection rights. Every user of my website is entitled to the following:

The right to access: You have the right to request copies of personal data I have relating to you.

The right to rectification: You have the right to request that I correct any information about you that you believe is inaccurate. You also have the right to request that I complete any information you believe is incomplete.

The right to erasure: You have the right to request that I erase your personal data, under certain conditions.

The right to restrict processing: You have the right to request that I restrict the processing of your personal data, under certain conditions.

The right to object to processing: You have the right to object to my processing of your personal data, under certain conditions.

The right to data portability: You have the right to request that I transfer the data that I have collected to another organisation, or directly to you, under certain conditions.
